FIFO Careers Privacy Policy

This Privacy Policy explains how FIFO Careers (“FIFO Careers”, “we”, “us” or “our”) collects, holds, uses and shares personal information when you use fifocareers.com.au and its related services (the “Site”).

1. Information we collect

Resumes and applications may contain sensitive information, such as health information, disability information, professional or union memberships, criminal history or right-to-work information. Please do not provide sensitive information unless it is relevant and requested. Where required, we collect sensitive information with consent or as otherwise permitted by law.

When you use the Site, we may automatically collect:

If you do not provide information required for an account, job application, job alert or employer service, we may be unable to provide that feature.

  • From employers, recruiters and service providers involved in operating the Site.

  • Provide, operate, maintain and improve the Site.

  • Create and manage user and employer accounts.

  • Process job applications and share them with the relevant employer or recruiter.

  • Parse resumes and populate editable profile information.

We may send job alerts and promotional communications where permitted. You can unsubscribe using the link in the message or through your account settings. We may still send essential security, account and transactional messages.

4. How we share information

We do not sell personal information.

  • To employers and recruiters: When you submit an application, the relevant application information is shared with the employer, recruiter or organisation responsible for that opportunity.

  • To service providers: We use providers for hosting, storage, authentication, analytics, email delivery, customer support, advertising, payment processing, security and other operational services.

  • To automated-processing providers: Resume information may be provided to services used to extract structured profile information.

  • To advertising providers: Information collected through cookies or similar technologies may be processed by Google and other advertising providers as described below.

  • For legal reasons: We may disclose information where required by law, legal process or a lawful government request, or where reasonably necessary to protect users, the public, FIFO Careers or another party.

  • During a business transaction: Information may be transferred in connection with a merger, acquisition, restructuring, financing or sale of assets.

  • With your direction or consent: We may disclose information when you direct us to do so or provide consent.

Service providers are authorised to process personal information only for the services they provide to us, subject to their agreements and applicable law.

5. Resume storage and automated processing

When you upload a resume, its contents may be processed by automated service providers, which may include OpenAI, to extract information such as skills, employment history and education.

Automated extraction may be incomplete or inaccurate. You should review and correct extracted information before using your profile or submitting an application.

We instruct service providers to process resume information for the purpose of providing services to us. We do not authorise them to use resume information for their own advertising. Provider retention and handling practices may vary according to the service, contract and configuration used.

If you choose to keep your resume on file, the original file is stored so you can retrieve or reuse it. If you do not choose to retain it, the original file is deleted after processing, subject to temporary technical copies, security logs and backup schedules. Structured information extracted from the resume may remain in your editable profile.

You can view, replace or delete a stored resume through your account settings.

FIFO Careers does not make employer hiring decisions. Resume extraction is not intended to be the sole basis for a decision producing legal or similarly significant effects.

6. Cookies and similar technologies

We use cookies, pixels, web beacons, local storage and similar technologies to:

  • Operate essential Site features.

  • Authenticate users and maintain security.

  • Remember settings and preferences.

  • Measure Site traffic and performance.

  • Understand how visitors use the Site.

  • Prevent fraud and abuse.

  • Display, personalise and measure advertising.

9. Data retention

We retain personal information only for as long as reasonably necessary to:

Stored resumes are retained until removed by the user, the associated account is deleted or they are otherwise no longer required.

Job-alert information is retained until the user unsubscribes or the subscription is otherwise terminated. Limited suppression records may be retained to ensure an unsubscribe request continues to be honoured.

Some information may remain temporarily in backups, security logs or records required by law. When information is no longer reasonably required, we take reasonable steps to delete or de-identify it.

10. Your rights and choices

Depending on your location and applicable law, you may have the right to:

  • Correct inaccurate or incomplete information.

  • Request deletion of personal information.

No internet transmission or electronic-storage method is completely secure, and we cannot guarantee absolute security.

12. Third-party websites and employers

The Site may link to employer, recruiter or other third-party websites. If you leave FIFO Careers and provide information directly to another organisation, that organisation controls how it handles the information.

FIFO Careers is not responsible for third-party privacy practices. Review the receiving organisation’s privacy policy before submitting personal information.

13. Children’s privacy

The Site is not directed to children under 16. We do not knowingly collect personal information from children under 16.

If you believe a child has provided personal information without appropriate authorisation, contact us so we can investigate and take appropriate action.

14. Changes to this policy

We may update this Privacy Policy to reflect changes to the Site, our providers, legal requirements or data-handling practices.
